Count from the sign date, and use the district calculator rather than counting by hand.

The counts for 2026-27

CalculatorHow the days are countedExample
15 day“Including all calendar days.”9/14/2026 → 9/28/2026
30 dayNot counting school breaks longer than five school days (Ed Code 56321(a)).8/18/2026 → 9/16/2026
45 dayThe sheet gives no rule for this count.8/13/2026 → 10/1/2026
60 day, eligibility and additionalNot counting school breaks longer than five school days (56321(a)).10/12/2026 → 12/10/2026
60 day, initialA referral made 30 days or less before year end is due within 30 days of the next school year starting (56344(a)).6/9/2027 → 9/15/2027

The calculator uses this year's calendar: 2026-27 runs 8/18/2026 to 6/9/2027, and 2027-28 starts 8/17/2027. The sign date entered must fall inside 2026-27.

Not yet decided

The calculator does not say which step each count belongs to, or what the 15-day and 45-day counts start from. Until the department records that, this page shows only how each count is computed.

Deadlines inside the IEP process

From the district checklist for IEP paperwork (updated August 2025).

  • Meeting notice to parents or guardians at least 10 days before the meeting.
  • Initial: Student Add Form 72 hours before it is needed; coordinate attendance at least 3 weeks before the due date.
  • Eligibility evaluation: prepare the assessment plan 75 days before the due date.
  • After the meeting: team report and signature pages uploaded to SEIS (the IEP system) within 48 hours; e-signature package sent within 48 hours.
  • Affirm and attest within 24 hours of holding the IEP (initial: within 24 hours of status changing from Pending to Eligible).
  • Evaluator protocols to the district office, attention Anne White, within 5 days of the meeting.

Known errors in the timelines sheet

The 26/27 lookup table has year typos (1/4/2027 shows a 2026 due date; several April 2027 rows read 2026) and one blank, 4/12/2027. Use the calculator tab, and report new errors to the owner.

Non-attendance, reconnect and revocation

What to send when a family on a speech IEP stops responding, and what each letter means.

Needs reviewOwner Ben BennettVerified Oct 15, 2026Next check when the department sets the steps

Needs review because the timing and routing between the letters are not written down. Until they are, check with Special Education before sending a PWN.

The three letters

1

Attempt-to-contact note (bilingual)

A one-page form from the SLP. Lists the dates you phoned and asks the parent to call back. Used at any stage, from a new evaluation to ongoing therapy.

2

Reconnect letter, “1st attempt” (English and Spanish)

For a student already on an IEP for speech. Lists attempts by phone, text and email. Tells the parent they may revoke services by email or letter to the district, that revocation removes the student from IEP services completely, and that a re-evaluation is needed to start again. Signed by the SLP.

3

Prior Written Notice (PWN)

A district letter signed by the Director of Special Education. Cites attempts by phone, email and registered mail, encloses the Procedural Safeguards, and explains that revoking consent ends IEP services and protections. The two files in the drive, “Non-Attendance” and “Revocation”, contain the same letter.

Not yet decided

The SLP shared drive holds the letters but no instructions. None of them states:

  • how many attempts, or how many days, before moving to the next letter;
  • who decides to send the PWN, and how the SLP routes it to the Director;
  • whether non-attendance and revocation are one step or two;
  • whether a parent must revoke in writing first, or non-response is enough;
  • how registered mail is documented, where copies are filed, and whether SEIS (the IEP system) is updated.

Before using the PWN template

The current template has old dates typed in (4/1/25 and 8/24/2024), two salutations, uses “him”, and mixes leaving the district with revoking IEP consent, which are different things. Edit every field, and confirm with Special Education which situation applies.
